Too often, teams wait until Speed of Repair slows or satisfaction scores dip before making changes. By then, the resident experience has already been affected. The three metrics below are leading indicators that can show much earlier whether your maintenance operation is staying healthy or starting to strain under the increased workload.

Here’s what each metric tells you and why it’s worth monitoring throughout peak season.
Chat Messages Per Meld
Benchmark: 5.0 to 7.0 chats per issue
This is one of the strongest indicators of maintenance engagement. It measures how much communication happens throughout a maintenance request between residents, your team, and vendors.
Both extremes tell a story. If the number is too low, residents may not be receiving enough updates and requests could be sitting quietly without communication. If it’s too high, repairs may be stalling, prompting residents to follow up because they haven’t heard anything. It can also be a sign that not enough information was collected at intake, leading to increased back and forth throughout the repair. Healthy communication lives in the middle, and peak season is when it’s easiest to drift outside that range.
What Property Meld data shows: Despite a significant increase in maintenance volume, Chat Messages Per Meld stays remarkably consistent. During peak season, teams average 5.35 chats per request compared to 5.39 during the rest of the year. More work doesn’t have to mean less communication. The strongest operators maintain consistent communication habits even when demand increases.
If your number is trending high: It can be a sign that not enough information is being collected at intake, leading to increased back and forth throughout the repair. If your team uses MAX On-Call, check your percentage of diagnosed Melds to ensure all intake is running through MAX. Better intake means fewer messages and faster resolution.
Average Melds Older Than 14 Days
Benchmark: 12% to 19%
This metric measures the percentage of repairs that have been open for more than 14 days. The KPI Cheat Sheet is direct about this one: post-14 days is a very sensitive time during a repair, and keeping this number low is one of the clearest indicators of how well your team is managing exposure to resident experience and litigation risk.
It’s normal for this number to run higher during peak season. Turn-related work takes longer than standard repairs by nature, and that will drive the percentage up. Volume is also simply higher. That context matters. But it doesn’t change the goal. The benchmark of 12% to 19% is still what to work toward, and teams that rally around bringing this number down prevent backlog from compounding into a Speed of Repair problem later.
When this percentage climbs, it’s usually a coordination challenge rather than a capacity one. Work orders get delayed waiting on vendor assignment. Follow-ups are missed. Repairs lose momentum between handoffs.
If your percentage is outside the benchmark: Sort open requests by age in your Meld dashboard and prioritize anything approaching or past 14 days. Speed of Repair
Benchmark: 3.4 to 6.8 days (median)
Speed of Repair remains the north star for maintenance performance. According to the KPI Cheat Sheet, it’s the single strongest indicator of resident satisfaction and lease renewal. It’s also a lagging metric. By the time Speed of Repair starts climbing, residents have already experienced the delay.
What Property Meld data shows: Speed of Repair averages only about 3% slower during peak season. Considering maintenance volume rises by roughly 15%, that’s a relatively modest change. The teams that stay closest to benchmark are typically the same teams keeping Chat Messages Per Meld healthy and addressing aging requests before they become stale.
If your median is above 6.8 days: Start by looking at the two metrics above. Analyze cycle times per technician and vendor to identify if there is a trend correlating to a specific person on your team. You can also look at coordinator performance to see how quickly work is being assigned and scheduled to determine which cycle times are dragging out.
